Cabin Count — Privacy Policy

Overview

Cabin Count ("we," "our," or "us") is a flight log and passenger tracking application for iOS. This Privacy Policy explains what personal information we collect, how we use it, and the choices you have regarding your data.

By using Cabin Count, you agree to the practices described in this policy. If you do not agree, please discontinue use of the app.

      The short version: We collect only what we need to make your account work and sync your flight log across devices. We do not sell your data. We do not share it with advertisers. Your flight records belong to you.

Data We Collect

We collect the following categories of information:

Document Scanning: When you use the AI-powered OCR scanning feature, images of your load closeout sheets are processed to extract flight data. These images are not stored on our servers after processing is complete.

We do not collect: your precise GPS location, contacts, health data, financial information, or any data unrelated to your flight log.

Section 3

How We Use Your Data

We use the information we collect solely to operate and improve Cabin Count:

Account authentication — to verify your identity and enable secure cross-device sync
Flight log sync — to store and retrieve your flight records across your devices
Milestone and journal tracking — to generate achievements and automatic journal entries based on your logged flights
App personalization — to apply your saved defaults and preferences
Crash diagnostics — to identify and fix technical issues using anonymized error reports
Account recovery — to help you regain access if you forget your PIN

We do not use your data for advertising, marketing profiling, or any purpose not listed above.

Section 4

Data Sharing

We do not sell, rent, or trade your personal information. We do not share your data with advertisers or data brokers.

We may share limited data only in the following circumstances:

Service providers: We use trusted third-party infrastructure providers (such as cloud hosting and crash reporting services) that process data on our behalf under strict confidentiality agreements. These providers do not use your data for their own purposes.
Legal requirements: We may disclose information if required to do so by law, court order, or governmental authority.
Business transfer: In the event of a merger, acquisition, or sale of assets, your data may be transferred. We will notify you before your data becomes subject to a different privacy policy.

Section 5

Data Retention

We retain your account and flight log data for as long as your account is active. If you request deletion of your account, all associated data — including your flight records, milestones, journal entries, and preferences — will be permanently removed from our servers within 30 days of your request being processed.

To request account and data deletion, contact us using the support form at cozy-clafoutis-c67003.netlify.app. We will confirm receipt and complete the deletion within 30 days.

Anonymized crash and diagnostic data may be retained for up to 12 months for engineering purposes.

You can export your full flight log at any time before requesting deletion — on the Flights tab, tap the export/download button to download a CSV of your data.

Section 6

Your Rights

You have the following rights regarding your personal data:

Access: You can view all of your flight log data directly within the app at any time.
Export: You can download a full CSV export of your data via Settings → Export Data.
Correction: You can edit any flight record directly in the app.
Deletion: You can request permanent deletion of your account and all associated data by contacting us via the support form. We will process your request within 30 days.
Portability: Your data export is provided in CSV format, compatible with standard spreadsheet applications.

California residents (CCPA): You have the right to know what personal information we collect, the right to delete it, and the right to opt out of sale. We do not sell personal information.

EEA/UK residents (GDPR): Our legal basis for processing your data is the performance of our contract with you (providing the app service) and our legitimate interest in maintaining service quality. You may also have the right to lodge a complaint with your local supervisory authority.

Section 7

Security

We take reasonable technical and organizational measures to protect your data, including encrypted data transmission (TLS), hashed PIN storage, and access controls on our backend infrastructure.

No method of transmission over the internet is 100% secure. We encourage you to use a strong, unique email address for your account and to store your recovery codes in a safe location.

Section 8

Children's Privacy

Cabin Count is designed for use by licensed pilots and aviation enthusiasts. The app is not directed at children under the age of 13 (or 16 in the EEA). We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us and we will delete it promptly.

Section 9

Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will revise the Effective Date at the top of this page. If changes are material, we will notify you through the app or by email.

Your continued use of Cabin Count after any changes constitutes your acceptance of the updated policy.
